When Microsoft 365 Wins
Complex Excel Work
If your accountants live in Excel – complex formulas, macros, pivot tables, large datasets – Microsoft 365 is the clear choice. Google Sheets is improving, but Excel remains the gold standard for serious spreadsheet work.
Legal Software Integration
Most legal practice management software (Clio, PCLaw, NetDocuments) is built primarily around Microsoft integration. Document management, email archiving, and calendar sync typically work better with Outlook.
Offline Requirements
Lawyers who work on planes, in courthouses with poor WiFi, or in rural areas need reliable offline access. Microsoft's desktop apps work fully offline; Google's offline mode is more limited.
Document Formatting Control
When document formatting matters – and in legal work, it always matters – Word provides more precise control. Contracts with specific margin requirements, tables of contents, and track changes work better in Word.
Regulatory Compliance
Microsoft has more compliance certifications and audit logs relevant to legal and financial services. If you need to demonstrate specific compliance requirements, Microsoft usually has more documentation.
When Google Workspace Wins
Real-Time Collaboration
If multiple people need to edit documents simultaneously – think collaborative workspaces or draft reviews – Google Docs' real-time collaboration is smoother than Microsoft's co-authoring.
Simpler IT Management
Google Workspace has a gentler learning curve for administrators. Fewer moving parts means fewer things that can break.
Mobile-First Teams
If your team primarily works from phones and tablets, Google's mobile apps are generally more polished and consistent.
Budget Constraints
Google Workspace tends to be slightly cheaper, especially at the entry level. For smaller firms watching every dollar, this matters.
Integration with Google Services
If you're already using Google Calendar, Google Meet, and Google Drive personally, the familiarity factor is real.
What About Security?
Both platforms offer enterprise-grade security when properly configured. The security horror stories you hear are almost always about:
- Weak or reused passwords (solved by MFA)
- Misconfigured sharing settings (solved by proper setup)
- Phishing attacks (solved by training)
Neither platform is inherently more secure. What matters is how you configure and manage it.
Our Recommendation
For most law firms and accounting practices in the Lower Mainland, we recommend Microsoft 365 because:
- Better integration with industry-specific software
- Superior Excel capabilities for accounting work
- More compliance documentation for regulated industries
- Offline reliability for courthouse/client site work
That said, we have clients happily running on Google Workspace. If your firm is already comfortable with Google, switching may not be worth the disruption.
The Migration Question
Already on one platform and considering switching? Think carefully:
Switching costs include:
- Data migration (documents, emails, calendars)
- Retraining staff
- Updating integrations
- Temporary productivity loss
Consider switching only if:
- You're experiencing real problems with your current platform
- Your firm is going through another major change anyway (merger, office move)
- The benefits clearly outweigh 3-6 months of transition pain
